Share Links
This guide explains how to create and manage public share links for pages.
Looking to embed content inside another website? See Embedding — embed codes are a separate system with their own dialog and menu item.
Overview
Share links allow you to share a page with anyone, even if they don't have an account in your workspace. This is useful for:
- Sharing documentation with external partners
- Publishing content publicly
- Collaborating with clients or contractors
- Quick sharing without account setup
Creating a Share Link
Prerequisites
- You must have edit access to the page
Steps
- Open the page you want to share
- Click the Share button
- In the "Share via link" section, select the access level:
- View only: Recipients can only read the page
- Can comment: Recipients can read and add comments (when enabled)
- Click Create Link
- The link will be generated and displayed
Copying the Link
- Click the copy icon next to the link URL
- A "Link copied" notification will appear
- Paste the link anywhere you need to share it
Access Levels for Share Links
View Only
- See page title and content
- Cannot make any changes
- Cannot add comments
Can Comment
- See page title and content
- Can add comments (when comment feature is enabled)
- Cannot edit the page
Note: Edit access is never available through share links. This protects your content from unauthorized modifications.
Managing Existing Links
Changing Access Level
- Open the Share dialog
- Use the dropdown to change from "View only" to "Can comment" or vice versa
- The change takes effect immediately
Revoking a Link
- Open the Share dialog
- Click Revoke Link
- The link immediately stops working
- Anyone with the old link will see an error message
Link Expiration
You can set an optional expiration date when creating a link:
- Before creating the link, set an expiration date
- The link will automatically stop working after that date
- Users will see "Share link has expired" message
Security Considerations
One Link Per Page
- Each page can have only one active share link
- Creating a new link replaces the previous settings
- Revoked links cannot be reactivated
Audit Trail
- All link creations and revocations are logged
- Team admins can review share link activity
No Edit Access
- Share links never grant edit access
- This prevents unauthorized content changes
Frequently Asked Questions
Can I have multiple share links for one page?
No, each page can have only one active share link at a time. If you need different access levels for different people, use individual permissions instead.
What happens when I revoke a link?
The link immediately stops working. Anyone currently viewing the page will see an error on their next action or page refresh.
Can I see who accessed my shared link?
The system tracks access counts, but individual visitor information is not collected. The access count is visible when you view the share link settings.
Does the shared page show comments?
Currently, the shared page view is read-only. Comment viewing and adding will be available when the commenting feature is fully implemented.
Can shared links be password protected?
Not currently. If you need password protection, consider using team invitations instead of share links.
What if someone shares my link without permission?
You can revoke the link at any time and create a new one. Consider using expiration dates for sensitive content.
