Workspaces Across Features

Workspaces integrate with many features in Ascend to provide consistent organization throughout the application.

Notion Import

When importing content from Notion, you can specify which workspace the imported content should be organized into.

Selecting a Target Workspace

  1. Start the Notion import process
  2. In the configuration step, find the "Target Workspace" dropdown
  3. Select your desired workspace or choose "No workspace"
  4. Complete the import

What Gets the Workspace?

  • All top-level pages and databases you import will be assigned to the selected workspace
  • Child pages automatically inherit their parent's workspace
  • Databases nested within pages inherit the page's workspace

Tip: If you navigate to the import page from a workspace view (e.g., via the sidebar), that workspace will be pre-selected for you!

Time Tracking

Track and analyze your time by workspace to understand how you're allocating effort across different projects or clients.

Filtering Time Entries by Workspace

  1. Go to the Time Tracking page
  2. Click the Workspace dropdown in the header
  3. Select a workspace to filter
  4. Only time entries for pages/databases in that workspace are shown

Filter Options

  • All Workspaces: See all your time entries
  • No workspace: See entries for unassigned pages/databases
  • Specific workspace: See entries for that workspace only

Workspace-Based Reports

View time summaries grouped by workspace:

  1. In the Time Summary section, select "By Workspace" grouping
  2. See total time per workspace as a chart or table
  3. Click a workspace to filter the entry list
  4. Combine with date range filters for specific periods

Exporting with Workspace Data

When you export time entries to CSV, the workspace is included:

  • The export includes a "Workspace" column showing the workspace name
  • Entries without a workspace show as "Unassigned"
  • Export respects your current workspace filter

Use the Unified Search to find content within specific workspaces or across your entire organization.

Global Search (Cmd+K)

  • Open search anywhere with Cmd/Ctrl + K
  • Filtering by Workspace: Click the filter icon (sliders) in the search panel and select a workspace to narrow down results
  • Visual Context: Results show workspace badges so you always know where a page or database belongs
  • Searchable Entities: Find pages, databases, workspaces, time entries, and even individual database rows

Quick Navigation

Search for a workspace name directly and click it to jump to that workspace's landing page.

Inbox Rules

Automatically organize content created from inbox rules by specifying a target workspace.

Setting Target Workspace in Rules

  1. Create or edit an inbox rule
  2. For "Create page" or "Create database row" actions:
    • Find the "In workspace" field
    • Select your target workspace or "No workspace"
  3. Save the rule

Example Rule

  • Condition: Email from client@acme.com
  • Action: Create page in 🏢 Acme Corp workspace
  • Result: All emails from this client automatically create pages in the client's workspace!

Linking with Workspace Context

When linking emails or events to pages:

  • The link dialog shows workspace badges next to each page
  • Use the workspace filter to narrow down suggestions
  • Pages from the same workspace are prioritized in AI suggestions

Templates

Create templates that are specific to a workspace or available across all workspaces.

Creating Workspace-Specific Templates

  1. When creating a template, find the "Available in" dropdown
  2. Select:
    • All Workspaces: Template available everywhere (default)
    • Specific workspace: Template only available in that workspace

Using Workspace-Specific Templates

When creating a page/database from a workspace view, you'll see:

  • Global templates (available everywhere)
  • Templates specific to that workspace
  • Templates from other workspaces are hidden

Use Cases

  • Client templates: Create templates specific to client workspaces
  • Project templates: Standard templates for project workspaces
  • Personal templates: Templates only for your personal workspace

AI Assistant (Aria)

The AI assistant understands workspace context and provides relevant suggestions.

Workspace-Aware Queries

  • "What's in the [Workspace Name] workspace?"
  • "Show me pages in [Workspace Name]"
  • "How much time did I log to [Workspace Name]?"
  • "Switch to [Workspace Name]"

Workspace Quick Actions

  • "Create page in [Workspace Name]"
  • "See time in [Workspace Name]"
  • "Switch workspace"

The assistant automatically detects which workspace you're viewing and tailors its responses accordingly.

Contacts (Optional)

Optionally associate contacts with workspaces for better organization.

Associating Contacts with Workspaces

  1. Open a contact or create a new one
  2. Find the "Workspace" field (optional)
  3. Select a workspace or leave unassigned

Benefits

  • Contacts without workspace appear in all views
  • When linking emails, contacts from the same workspace are prioritized
  • Filter contacts by workspace to see client-specific contacts

Note: This is optional! Contacts work perfectly fine without workspace assignment.
