Core Workflows
1. Creating Content in a Workspace
When Creating a New Page
- Click "New Page" button
- Choose your template
- In the details step, select your Workspace from the dropdown
- Enter the page title
- Click "Create Page"
The page is now organized in that workspace!
When Creating a New Database
- Click "New Database" button
- Choose your template
- In the details step, select your Workspace from the dropdown
- Enter the database title
- Click "Create Database"
The database is now organized in that workspace!
2. Moving Existing Content to a Workspace
For Pages
- Open the page you want to move
- Find the Workspace selector (below the title, left of tags)
- Click the dropdown
- Select the destination workspace
- The page is moved instantly
For Databases
- Open the database you want to move
- Find the Workspace selector (below the title, left of tags)
- Click the dropdown
- Select the destination workspace
- The database is moved instantly
3. Filtering by Workspace
From the List View
- Go to
/pagesor/databases - Click the Workspace dropdown in the toolbar
- Select a workspace to filter
- Only content from that workspace is shown
From the Sidebar
- Expand a workspace in the left sidebar
- Click "Pages" or "Databases"
- You're taken to the filtered view for that workspace
Workspace Landing Page
Clicking a workspace name directly in the sidebar takes you to its Landing Page, which provides a high-level overview:
- Recent Activity: Quickly jump back into recently updated pages
- Top-level Content: See all root pages and databases within the workspace
- Workspace Metadata: View the workspace icon, description, and stats
4. Viewing All Content
To see content from all workspaces:
- In the sidebar, expand "All Workspaces"
- Click "Pages" or "Databases"
- Or in the list view, select "All Workspaces" from the dropdown
Advanced Features
Combining with Tags
Workspaces and tags work together:
- Workspace = High-level organization (Work, Personal, Client)
- Tags = Cross-cutting categories (Urgent, In Progress, Archive)
Example:
- Page in "💼 Work" workspace
- Tagged with "🔥 Urgent" and "📝 Draft"
- Filter by workspace AND tags for precise results
Workspace in URLs
When you navigate via the sidebar, the URL includes the workspace:
/pages?workspace=5- Pages in workspace ID 5/databases?workspace=3- Databases in workspace ID 3
You can bookmark these URLs for quick access!
Keyboard Shortcuts
While viewing a workspace-filtered list:
Ctrl/Cmd + K- Quick search (still respects workspace filter)N- New page/database (workspace pre-selected)
Tips & Tricks
Tip 1: Bookmark Workspace Views
Create browser bookmarks for frequently accessed workspaces:
/pages?workspace=5- Your work pages/databases?workspace=3- Client databases
Tip 2: Use Workspace + Tag Combo
For powerful filtering:
- Select workspace in dropdown
- Select tags in tag filter
- Get precisely what you need
Tip 3: Switching Teams
To switch between different teams:
- Look for the Team Name in the Workspaces section header of the sidebar (e.g., "Ascend").
- Click the team name dropdown.
- Select the team you want to switch to.
- Note: If you are viewing a team you don't own (e.g., as an admin), the text will appear in Amber to remind you of the context.
Tip 4: Quick Switching
Use the sidebar for fast workspace switching:
- Click workspace name to expand
- Click "Pages" or "Databases"
- Instantly filtered view
