Work together on databases with real-time editing, comments, mentions, and sharing.
Real-Time Collaboration
Multiple people can view and edit the same database simultaneously.
How It Works
Live Updates:
- Changes appear instantly for all viewers
- No need to refresh the page
- Visual indicators show when someone else is editing a cell
Presence Indicators:
- User avatars appear in the top-right corner
- Shows who is currently viewing the database
- Hover over an avatar to see the user's name
Cell Locking:
- When someone is editing a cell, it briefly locks for others
- Prevents conflicting edits
- Unlocks immediately after they save or click away
Comments
Discuss specific rows or general database topics.
Row Comments
Add comments to a specific row to discuss that item.
- Click any cell in the row to select it
- Click "Open" or press Space to open Row Details
- In the side panel, scroll to the Comments section
- Type your comment
- Press Enter to post
Use Cases:
- Discuss status updates ("Moved to Done - check the attachment")
- Ask questions ("@Sarah, is this due date correct?")
- provide feedback ("Great work on this task!")
Database Comments (General)
Some database views support general comments (check with your team admin).
- Usually found in the "Description" or "Info" panel of the database
- Best for high-level discussions about the database structure or purpose
Mentions
Notify team members to get their attention.
How to Mention
- In a comment or text property cell, type
@ - Start typing the person's name
- Select them from the dropdown list
- Complete your message
What Happens
- The mentioned user receives a notification (in-app and/or email)
- The notification links directly to the specific row or database
- They can click to jump right to the context
Tip: Use mentions for urgent items or direct questions. Avoid over-mentioning for general updates.
Sharing Databases
Control who can access and edit your database.
Workspace Permissions
Databases usually inherit permissions from their Workspace.
- If a database is in the "Marketing" workspace, all "Marketing" members can access it.
- Viewers: Can see data but not edit
- Editors: Can add/edit rows and values
- Admins: Can change database structure (properties, views)
Direct Sharing
You can share a specific database with individuals or groups (if enabled).
- Click the "Share" button (top-right)
- Type a user or group name
- Select their permission level (View, Comment, Edit, Full Access)
- Click "Invite"
Public sharing
Share to Web:
- Create a public link for read-only access
- Useful for sharing roadmaps, changelogs, or public directories
- Toggle "Allow duplicate as template" to let others copy the structure
Row-Level permissions
(Note: Feature availability depends on your plan)
In some advanced setups, you can restrict access to specific rows.
- Assignee Only: Only the assigned person and admins can edit
- Private Rows: Only the creator and admins can see
Check your workspace settings or ask an admin if row-level security is active.
Version History
Track changes and restore previous versions.
View History
- Open the Row Details panel (click a row)
- Click the "Activity" or "History" tab (clock icon)
- See a chronological list of changes:
- Who changed what
- Old value → New value
- Date and time
Restore Data
- Undo: Press
Ctrl+Z(Cmd+Z) immediately to undo your last action - Restore Version: (If available) In the history panel, you may be able to revert a specific property to a past value
Best Practices
✅ Do:
- Use comments for context, not just the "Status" field
- Mention relevant people only
- Use views to share specific perspectives (e.g., "Client View")
- Lock views prevents accidental layout changes
❌ Don't:
- Edit the database structure (add/remove columns) without team consensus
- Mention
@channelor@everyoneunless critical - Delete rows without checking if others need them (archive instead)
Troubleshooting
"Read Only" access?
- You might have View Only permissions
- Check with the workspace owner to request Edit access
Comments not showing?
- Ensure you’ve opened the Row Details panel
- Check if comments are filtered or collapsed
Changes not saving?
- Check your internet connection
- Look for a "Saving..." indicator or error message
- Refresh the page (your changes might be saved on the server even if the UI lagged)
