Managing Jobs

Jobs represent the specific activities or projects you are working on (e.g., "Consulting", "Development", "Client Meeting"). Each job can have its own billing rate, color, icon, and advanced billing settings.

Accessing Job Management

  1. Navigate to the Time Tracking page from the main navigation
  2. Click on the "Jobs" tab at the top of the page
  3. The Jobs interface displays a searchable list of all your jobs on the left, with editing controls on the right

Creating a New Job

  1. In the Jobs tab, click the "New Job" button (located next to the search box in the job list header)
  2. The form on the right will display fields for the new job
  3. Fill in the job details (see below)
  4. Click "Save Changes" to create the job

Job Details

Basic Information

  • Job Name: A descriptive name for the job (Required)
  • Description: Optional details about what this job entails
  • Client: Link to a contact from your database to associate this job with a specific client

Visual Customization

Emoji Icon

Choose from hundreds of emojis to visually represent the job. The icon appears in:

  • Job lists
  • Timer displays
  • Time entry lists
  • Reports and charts

To set an icon:

  1. Click the smiley face button in the job form header
  2. Browse or search for an emoji
  3. Click to select

Color

Select from 32 professionally curated colors. The color helps distinguish jobs at a glance in:

  • Job lists (small color dot)
  • Time tracking summaries
  • Charts and visualizations

To set a color:

  1. Click the colored circle button in the job form header
  2. Choose from the color palette
  3. Click to select

Billing Settings

  • Hourly Rate: Set the default billing rate for this job
  • Currency: Choose the currency (USD, EUR, GBP, etc.)
  • Rate Type: Select "Hourly" or "Lump Sum" billing
  • Tax Settings:
    • Tax Name: e.g., "GST", "VAT", "Sales Tax"
    • Tax Rate: Percentage to apply to invoices

Advanced Billing

Rounding

Automatically round time entries to make billing cleaner:

  • No rounding
  • Nearest 5 minutes
  • Nearest 15 minutes
  • Nearest 30 minutes
  • Nearest 1 hour

Example: With 15-minute rounding, a 23-minute entry becomes 30 minutes.

Minimum Duration

Enforce a minimum billable time for any entry (in minutes).

Example: Set to 30 minutes means even a 10-minute call is billed as 30 minutes.

Duration Presets

Set quick-select buttons for common durations (e.g., 15, 30, 60 minutes). These appear when manually creating time entries.

Setting a Default Job

You can mark one job as the default job, which will be automatically selected when starting new timers.

How to Set Default

  1. In the job list, locate the star icon next to each job name
  2. Click the star icon next to the job you want to set as default
  3. The star will turn yellow and filled to indicate it's the default
  4. Only one job can be the default at a time - setting a new default automatically unsets the previous one

Benefits of a Default Job

  • Automatically selected when you start a new timer
  • Saves time if you primarily work on one job
  • Can be changed at any time

Editing a Job

  1. Click on any job in the list on the left side
  2. The job's details will load into the form on the right
  3. Make your changes to any field
  4. Click "Save Changes" to update the job

Deleting a Job

  1. Select the job you want to delete from the list
  2. Click the Trash Icon in the top right of the job form header
  3. Confirm the deletion when prompted

Note: You cannot delete jobs that have associated time entries. You may want to hide them instead using the "Hidden" toggle.

Searching and Filtering Jobs

  • Use the search box at the top of the job list to filter jobs by name or client
  • Jobs are paginated if you have many - use the pagination controls at the bottom of the list

Best Practices

  1. Use Descriptive Names: "Client A - Development" is better than "Dev Work"
  2. Set Colors Strategically: Use similar colors for related jobs
  3. Choose Meaningful Emojis: They help with quick visual scanning
  4. Set Accurate Rates: Ensures correct invoice amounts
  5. Use Default Job: If you primarily work on one job, set it as default
  6. Link to Clients: Makes invoice generation much easier
  7. Configure Rounding: Match your billing practices (many consultants use 15-minute increments)
